ACCOUNTABILITIES
- CEO Agenda and Engagement Planning
- Serve as a strategic gatekeeper for the CEO’s calendar, collaborating with the Senior Executive Assistant to ensure alignment with priorities, maintenance of rhythms, and incorporation of follow-up actions.
- Anticipate upcoming engagements and visits by proactively proposing relevant readings, political contexts, and angles to inform the CEO’s positioning.
- Assist the Chief of Staff in devising the CEO’s overall engagement strategy, leading the logistics, preparation, and execution of individual engagements.
- Stakeholder Coordination
- Prepare documentation for the CEO for high-level meetings with senior stakeholders, partners, and leadership gatherings.
- Attend key CEO meetings and events to capture commitments, key messages, and follow-up actions.
- Ensure timely follow-up on commitments and coordinate the delivery of agreed outcomes.
- Collaborate with the Senior Executive Assistant to schedule follow-ups and reflect actions in the CEO’s calendar rhythm.
- Briefing and Decision Support
- Develop high-quality briefing notes and talking points for the CEO’s internal and external engagements.
- Coordinate timely inputs from global and regional teams to inform meetings and speaking engagements.
- Conduct rapid desk research and synthesize key insights on emerging issues or requests from the CEO.
- Executive Office Coordination and Action Tracking
- Track CEO action points, ensuring timely follow-up with clear ownership and deadlines.
- Monitor coordination needs and recommend improvements to Executive Office systems and workflows.
- Act on priorities arising from weekly CEO–Leadership Team check-ins, as directed by the Chief of Staff.
- Ensure the CEO is equipped with relevant context and materials ahead of key leadership engagements.
- Strategic Internal Contribution
- Contribute to the creation of internal materials such as Board reports, dashboards, and performance summaries.
- Coordinate input and data collection for key deliverables linked to CEO priorities.
- Assist the Chief of Staff in mobilizing support around urgent priorities or time-sensitive workstreams.
- Event and Travel Facilitation
- Support on-site logistics and documentation for CEO visits and key events, coordinating closely with the Senior Executive Assistant and local teams.
- Liaise with external partners, donors, and youth representatives as necessary during travel and engagements.
- Ensure prompt and accurate delivery of post-visit actions and follow-up communications.

KEY RELATIONSHIPS
- CEO: Collaborates closely with the CEO, supporting priority meetings, engagements, and follow-up actions while operating with discretion and responsiveness to the CEO’s immediate needs.
- Chief of Staff: Direct line manager, providing strategic direction, prioritization, and oversight.
- Senior Executive Assistant: Works collaboratively to ensure logistical, scheduling, and administrative needs are aligned and well-coordinated.
- Senior Writer: Coordinates inputs for CEO speeches and communications, ensuring alignment with messaging.
- Executive Office team: Collaborates with project, communication, and coordination staff to achieve cross-cutting CEO priorities.
- Wider Leadership and Global Functions: Engages to gather insights, briefing materials, and monitor follow-up on action items, building strong relationships across functions, particularly with influencing, partnerships, and governance teams to support the CEO’s agenda.
TECHNICAL EXPERTISE, SKILLS AND KNOWLEDGE
- Essential
- Relevant experience in a senior coordination, policy, or executive support role.
- Experience in international development, humanitarian affairs, or global governance.
- Proven ability to operate in a high-pressure, front-office environment with discretion, diplomacy, and professionalism.
- Strong written communication skills, briefing development, and the ability to synthesize complex content for executive audiences.
- Experience in a complex, multicultural, global organization or intergovernmental body.
- Ability to manage multiple priorities with tight deadlines and maintain excellent attention to detail.
- Strong interpersonal skills to effectively liaise with senior leaders and external partners.
