The United Nations Human Settlements Programme, known as UN-Habitat, is the UN agency dedicated to promoting socially and environmentally sustainable urban development. Its mission, mandated by the UN General Assembly, is to ensure adequate shelter for all. The Urban Economy Branch of UN-Habitat focuses on enhancing local capacities within urban environments.
Responsibilities
Reporting directly to the Human Settlements Officer/Project Manager, the Individual Contractor will undertake the following responsibilities:
- Assist with standard administrative activities and processes related to projects, ensuring adherence to applicable rules and procedures.
- Provide logistical support for travel arrangements, including accommodation, flight bookings, car rentals, and related coordination.
- Facilitate the organization of meetings, training sessions, and conferences, including vendor communication, obtaining quotations, venue bookings, and reconciling documentation.
- Support the preparation for project-related meetings, including drafting agendas, notifying participants, taking minutes, preparing presentations, and monitoring follow-ups.
- Maintain and update various trackers, including procurement, travel, recruitment, and cash advances.
- Assist in the clearance and approval process for legal documents such as Agreements of Cooperation relevant to project activities.
- Help update a knowledge management repository tool on SharePoint for storing all relevant project documents.
- Maintain organized records and files for ongoing projects and programs.
- Perform any other related tasks as assigned.
Qualifications/Special Skills
- A high school diploma is required.
- A certificate or university degree (Bachelor’s or equivalent) in Business Management, Administration, Information Technology, Development Studies, or a related field is desirable.
- At least one year of experience in support roles related to program management or similar fields is required.
- Experience in administrative support, event coordination, process monitoring, and knowledge management is preferred.
